Overview

Atlantix Education operates in the legal and professional recruitment sector, where speed of response and data accuracy directly influence placement success. As application volumes increased, manual CV handling and delayed candidate communication began to constrain operational efficiency.

Flowmoco partnered with Atlantix Education to design and implement an automated recruitment intake pipeline. The engagement focused on reducing manual data entry, accelerating applicant response times, and synchronising structured candidate data directly into the firm's CRM system.

The Challenge

Candidate applications were processed manually via email. CVs were reviewed individually, relevant details were extracted by hand, and data was re-entered into the Bullhorn CRM system.

This approach introduced delays between application and acknowledgement. Response lag risked losing high-quality candidates to faster-moving competitors. Administrative time was consumed by repetitive data entry rather than relationship-building activity.

The Solution

An automated, event-driven pipeline was implemented to orchestrate the end-to-end intake process.

Form submissions and inbound emails trigger workflow automation. Attachments are detected and processed automatically. CV documents are classified and parsed using a structured extraction layer, transforming unstructured candidate information into clean, CRM-ready data.

Extracted data is enriched and validated before synchronisation with the Bullhorn CRM. Automated confirmation emails are sent to applicants, ensuring immediate acknowledgement and improving candidate experience.

Polling intervals and workflow orchestration ensure near real-time responsiveness while maintaining reliability across integrations.

The system was designed to integrate cleanly with existing tools rather than replace them, reducing disruption while increasing capability.
